Set up a team and its ranks

Teams are your staff, security, hosts or any other crew, each with ranks from highest to lowest; a rank can give a role, so it reaches SL and Discord too.

You need permission to manage teams (teams.manage), and to manage forms (forms.manage) to take applications. Every member can see the Teams page.

A team has ranks, highest first, a roster of the people on it, and a schedule of shifts. Every member can see your teams, their rosters and their schedules.

Create a team

  1. Go to Teams and press Create team.
  2. Type its Name, like Staff, Security or Hosts.
  3. Add a Description (optional).
  4. Press Create team. Its page opens.

In a roleplay community, a team can also have a Department type, like law enforcement or medical. See Run departments.

Add its ranks

Add ranks before you put anyone on the roster: everyone on a team holds one of its ranks.

  1. On the team's page, press Add rank.
  2. Type the Rank name, like Sergeant.
  3. Choose its Role: A new role, No role, or one of your roles.
  4. Press Add rank. New ranks go below the others.

A new role is named after the team and the rank unless you type a New role's name, and it starts with no permissions; add some on the Roles page. If you can link roles, you can also pick an SL group role to link the rank's role to, and it's renamed to match. From then on, a rank change on the team changes their role in SL.

How rank roles work

  • Everyone at a rank holds its role, and loses it when they move to a rank without it or leave the roster.
  • Several ranks can share a role, since an SL group has fewer roles than most teams have ranks. Someone keeps the role while any rank they hold, on any team, gives it.
  • You can only use a role whose every permission you hold yourself.

Change the ranks

  • Reorder: use the up and down arrows beside a rank.
  • Rename or change its role: press the rank's name. Changes save as you make them. Changing its role swaps the old role for the new one for everyone at that rank.
  • Delete: open the rank and press Delete rank…. You can only delete a rank nobody holds, so move its people to another rank first. Its role stays on the Roles page.

Take applications

If you can manage forms, a team's page has a Hiring panel.

  1. Turn on Hiring. The first time, Civitas makes the team's application form. It asks why they want to join and what experience they have, and in a roleplay department which character they'll play.
  2. Press Edit the application form to change its questions or who can apply. An application always says who sent it; it can't be anonymous.
  3. While the team is hiring, its form takes applications and the team is listed under Hiring on your public page.
  4. When applications come in, the panel shows how many are waiting. Accepting one puts them on the team at its lowest rank. To choose another rank, change the Put on a team at a rank action on the form's When accepted tab.

If the team has no ranks yet, Civitas says so: add a rank, then choose it in Put on a team at a rank on the form's When accepted tab. Turn Hiring off to stop taking applications. The form and its applications stay, and turning it back on reopens the same form.

Change or delete the team

Press Edit team to change its name, description or department type; changes save as you make them. Delete team… at the bottom removes its ranks, roster and schedule, and everyone on its roster loses their rank's role, in SL and on Discord too. Civitas asks before it deletes.
