Schedule shifts
Put yourself, or anyone on a team's roster, on the team's schedule for one shift or a repeating series, take a place on an open shift, and see every shift on its calendar.
Anyone on a team's roster can schedule themselves and take places on open shifts. To schedule others, post open shifts or take others' shifts off, you need permission to manage rosters (teams.roster).
A team's Schedule is a calendar of its shifts, in SLT. It's a plan: hours count only when someone goes on and off duty.
Schedule a shift
- Open the team on the Teams page and press Schedule a shift, or click an empty time on the calendar to start at that time.
- If you manage the roster, choose Who: someone on the roster, or Open shift to let the team pick (see below). Otherwise the shift is yours.
- Choose the Day, when it Starts (SLT) and when it Ends (SLT). An end at or before the start means the next day. The length shows under the times.
- Add a Note (optional), like the post they're covering.
- Press Schedule shift.
The person gets a notification that they're on the team's schedule, with the times.
Repeat a shift
In Repeat, choose Every day, Every weekday (Monday to Friday), or every 1 to 4 weeks on the days you pick. Then choose Until, the last day it repeats. The panel says how many shifts that makes and when the last one is, and the button counts them, as in Schedule 8 shifts. The shifts go on the schedule together, at the same SLT times each day.
Open shifts
An open shift lets people on the team pick their own shifts, instead of a manager choosing who works.
- If you manage the roster, press Schedule a shift and choose Open shift: anyone on the team can take it in Who.
- Enter how many People needed, from 1 to 50.
- Choose the day, times, repeat and note as for any shift, and press Post open shift.
Open shifts show on the calendar with a dashed outline and the places left. Anyone on the roster clicks one and presses Take a place, and it goes on their schedule. They can't take two places on the same shift, or one that clashes with another of their shifts on the team.
To give a place back, click your shift (or the open shift) and press Give back your place. That works until the shift starts, and the place opens up for someone else. After it starts, someone who manages the roster can take it off the schedule.
Managers see who took each place when they open the shift. Remove open shift takes it down, and any places people took on it come off their schedules. For a repeating one, Remove this and later ones also removes the rest of the series after it. Posting, taking, giving back and removing are all in the audit log.
Limits
- A shift can be up to 24 hours long.
- Shifts can be scheduled up to 90 days ahead.
- Someone can't be on the same team's schedule twice at once. For a repeating shift, if any one of them clashes, none are added and Civitas says which day.
Read the calendar
Choose Day, Week or Month, move with the arrows, and press Today to come back. Each person has their own colour. Click a shift to see its day, hours, length and note.
Take a shift off the schedule
Click the shift and press Take off schedule. For one of a repeating series, Take off this and later ones removes it and the rest of the series after it. You can take off your own shifts, and anyone's if you manage the roster. Shifts that are over stay on the schedule.
Taking someone off the roster also takes their shifts off the schedule.
