Put an event on the calendar
Create an event, make it repeat, choose who can see it, take reservations, send reminders and group notices, and put it on Discord and in SL's Events search.
You need permission to create events (events.create) to create events and change the ones you host, or to manage all events (events.manage) to change any event and keep the categories.
The Events page is your community's calendar. Times are in SLT. Every member sees it, except events kept to teams they're not on.
Create an event
- Go to Events and press New event, or click an empty time on the calendar to start at that time.
- Type the Title.
- Choose the Day, when it Starts (SLT) and when it Ends (SLT). An end at or before the start means the next day.
- Press Create event.
You're the event's host, and its page opens. The rest is set there, and each change saves as you make it.
Fill in the event's page
- Details: the Title, a Category, and the Place. Paste a SLurl or type a region's name. The place opens a card with SL's map and a Teleport button, and the Map panel shows it on SL's map, as the event's public page does.
- When: check All day for whole days, or set the Day and times. An event can last up to 14 days.
- Hosts: the people running it. Add up to 10 with Add a host. Hosts have to be members. Hosts who can create events can change the event too.
- Picture: tick I own this picture or have permission to use it, then press Upload a picture (PNG, JPEG, GIF or WebP, up to 5 MB). You tick it again for each picture. Without one, the event shows its parcel's picture from SL. A public event's picture also shows on your event boards in SL.
- Description: what it's about. You can use a little Markdown.
Make it repeat
In When, choose Repeats: Daily, Weekly or Monthly, and how often in Every, up to 12 days, weeks or months apart.
- Weekly: press the days it happens on. It always happens on the weekday of its first day.
- Monthly: choose On a date, like day 12 of the month, or a weekday, like the second Friday or the last Friday.
- Ends: Never, On a day (choose the Last day), or After X times (2 to 500).
The panel says how it repeats. Repeating times keep their SLT time all year.
To change one time of a repeating event, click that time on the calendar and open it. The Which times panel appears. In Changes apply to, choose This time only, This and later times or Every time. A time changed on its own becomes an event of its own.
Choose who can see it
An event is public unless you turn on Private in Who can see it.
- Public: anyone can see it, members or not. It has its own page at your web address with /e/ and the event's name, and the panel links to it. It shows on your public page when Show upcoming events is on there. The public page never shows who's going, only how many.
- Private: only members see it. Check Teams (optional) to show it only to those teams, from the rank you choose and up. Its hosts and event managers always see it.
Take reservations and send reminders
In Reservations and reminders:
- Take reservations lets members say Going, Maybe or Can't go. It's on for a new event.
- Limit caps how many can go. Once it's full, people who say Going join a waiting list and move up when someone can't go. Leave it empty for no limit.
- Everyone sees who's going shows the list to members. Turned off, only hosts and event managers see it.
- Sign-up form has people complete one of your community's forms to say Going, like a sign-up for a contest or a stall at a market. Anonymous and archived forms can't be used. Going on Discord doesn't need the form.
- Reminders go to the people going, at the times you choose, from the start up to a week before. A new event has one an hour before. Press Add a reminder for up to 5. Check Remind people who said Maybe too to include them.
With a sign-up form, hosts and event managers see a Sign-up form link beside each person going, or No form for someone who said Going on Discord. Reviewers see which event and time each submission is for, and declining one takes that person's Going back and tells them. See Review form submissions.
Reminders are notifications, so each person gets them on Civitas and wherever else they chose. See Choose how Civitas tells you things.
Send a group notice before it
To tell a whole SL group about the event, not just the people going, use Group notices on the event's page. It needs permission to send notices (notices.send).
- Press Add a group notice.
- Choose When it goes, from the start up to a week before, and which SL group it goes to.
Your community's bot sends the notice before each time of the event, with the event's name, time, place and a link to it. It counts once per member of the group, and the panel shows how many messages that is. An event can send up to 3. The notice goes as you, so if you can no longer send notices or change the event, it doesn't go and you're told. It shows on the Notices page like any other, and if SL can't take it that day, the notice says why.
An event for certain teams only can't send group notices, since the whole group would see them.
Put it on Discord
Once your Discord server is connected (see Add Civitas to your Discord server), every new event goes on the server's Events list as soon as you create it. If you've connected more than one server, it goes on the one you connected first.
To move an event or take it off, use the Discord panel on the event's page:
- Server moves it to another server. Choose Not on Discord to take it off.
- Where chooses In SL, at the event's place, or a voice or stage channel.
The event follows your changes on Discord. A repeating event shows its next time there, then the one after once that's over. People who click Interested on Discord count as going. If Civitas can't make events on the server, the panel says what it needs.
On the Events page, Bring in events made on a server brings events made in that server's Events list into Civitas as private events. Only events made after you turn it on come in. A change on either side shows on both, and deleting or cancelling on one side does the same on the other.
List it in SL's Events search
To let anyone in Second Life find a public event, turn on List in SL's Events search in the SL Events search panel on the event's page, and choose its Category in SL. CMTY, Civitas's bot, lists it in SL for you, at no cost to your community.
- Only public events with a place in SL and a start time can be listed. Private events and events that take whole days can't.
- The listing names your community and links to the event's page, then shows its description.
- A repeating event is listed one time at a time: its next time, then the one after once that's over. A time more than 30 days away goes in SL 30 days before it starts.
- The listing follows your changes, and comes off SL when you cancel or delete the event, make it private, or turn the switch off.
- SL lets CMTY post 15 events a day for every community on Civitas, changes included. So new listings and changes wait in line, and CMTY posts 5 at a time, at 1:00 AM, 9:00 AM and 5:00 PM SLT. Events that start soonest go first, shared fairly between communities, and the panel says when the next posting is. Taking a listing off SL doesn't wait.
SL lists events only on parcels of at least 512 m², and only for people allowed to list events there. On an estate, add CMTY to the estate's allowed list. On group land, give CMTY a group role with Allow 'Event Hosting' on group land. When you turn the listing on, or move the event to another place, CMTY looks at once at whether SL lets it list there, without posting anything, so it doesn't use up any of the 15 posts. If SL doesn't, the panel says so straight away, before CMTY's next posting, and it goes away once CMTY finds the land allowed. If SL won't take the listing, the panel says why, and a change to the event tries again.
Run actions for the event
If you manage all events, the event's page has an Actions panel with two lists. Press Add an action in either and choose one, like Give a role, Send them an IM or Send a group notice.
- When it starts runs at each time of the event, like a group notice that it's starting.
- When someone's going runs once for each person and time when they say Going, including when they move up from the waiting list or click Interested on Discord with a linked account. Saying Can't go afterwards doesn't undo it.
The actions run with the permissions of whoever changed them last. What they send in SL counts toward a daily limit, which the community's owner can change.
Cancel or delete an event
- Cancel event keeps it on the calendar, struck through, and tells everyone who said Going or Maybe. For a repeating event, first choose the times in Changes apply to: the button then reads Cancel this time, Cancel this and later or Cancel every time.
- Delete takes it off the calendar for good, with every time it repeats. Once someone has said Going or Maybe, cancel it instead.
People who said Going or Maybe are also told when the time or place changes.
Keep categories
Categories give kinds of event, like Dances or Meetings, their own color on the calendar. If you manage all events, the Categories panel on the Events page has them.
- Type the New category, choose its Color and press Add category.
- Choose it for an event in Category on the event's page.
Change a name or color in place. Deleting a category keeps its events, without a category. A community can have up to 30.
Updated
